{"id":204,"date":"2020-11-14T16:58:11","date_gmt":"2020-11-15T00:58:11","guid":{"rendered":"http:\/\/omtiblog.com\/metarecords101\/?p=204"},"modified":"2026-03-30T17:52:27","modified_gmt":"2026-03-31T00:52:27","slug":"bulk-update","status":"publish","type":"post","link":"https:\/\/omtiblog.com\/metarecords101\/modules\/tools\/bulk-update\/","title":{"rendered":"Globally update settings for clients &#038; locations"},"content":{"rendered":"<h6>Lesson #95<\/h6>\n<h5>Tools \u2013 Bulk Update function<\/h5>\n<p>When something changes that affects a lot of entities \u2014 for example you have a new sales representative \u2014 save time by changing that particular setting (field) for a group of records \u2014i.e., all of the affected contacts \u2014 at once. <strong>Use the Bulk Update function to update multiple \u00a0firms, contacts, or locations at the same time.<\/strong><\/p>\n<p>Depending on the information you want to change, you select:<\/p>\n<ol>\n<li>The group of records (firms, contacts, or locations) where that information is stored.<\/li>\n<li>The specific field in those records that you want to update.<\/li>\n<li>(Depending on the field you selected) the value you want in that field.<\/li>\n<li>Which specific entries in the group of records you want to update.<\/li>\n<\/ol>\n<h2>Update contacts<\/h2>\n<p>For contacts, you can update their billing rates, their classification, whether or not to send them marketing materials, their designated gender, credit rating, client rep, sales rep, what salutation to use in addressing them, and their preferred methods for receiving invoices and statements.<\/p>\n<p>You can choose to change every listing in Contacts, only those listings for contacts that are still doing business with you (active clients), or select a custom set of contacts to update \u2014 such as all the contacts at one firm. You can also search for all contacts assigned to a single client rep or sales rep if you are bulk updating those contacts to a new client rep or sales rep.<\/p>\n<h2>Update firms<\/h2>\n<p>For firms, you can update many more fields:<\/p>\n<ul>\n<li>Current account status<\/li>\n<li>Whether to show detailed breakdowns on their invoices<\/li>\n<li>Billing rates<\/li>\n<li>Your ranking of them (the type of firm they are or their value to you)<\/li>\n<li>Credit rating<\/li>\n<li>Whether they are Cash on Delivery (COD)<\/li>\n<li>Sales rep or client rep they belong to<\/li>\n<li>Staff responsible for collecting payments from them<\/li>\n<li>Whether monthly statements are printed for each contact at this firm separately or combined and sent to \u201cAccounts Payable\u201d<\/li>\n<li>Percentage you deduct if you offer a negotiated discount on all the firms\u2019 invoices<\/li>\n<li>Whether or not to send them marketing materials<\/li>\n<li>Percentage you charge the firms monthly on past-due invoices<\/li>\n<li>Type of firm (e.g., law firm, insurance company, corporation)<\/li>\n<li>Deadline in business days past the payment terms of invoices for the firms to render payment before MR notifies you to start collection efforts<\/li>\n<li>Percentage you charge the firms as a one-time account service fee on past-due invoices<\/li>\n<li>Firm designated as the firms\u2019 headquarters (Parent Firm)<\/li>\n<li>Terms for payment that will appear on the firms\u2019 invoices<\/li>\n<li>Percentage for the state sales tax for the firms<\/li>\n<li>Where the firms heard of you (source of initial contact)<\/li>\n<li>Method for receiving consolidated statements<\/li>\n<\/ul>\n<p>Like contacts, you can choose to change every listing in Firms, only active firms, or a custom set of specific firms. You can also search for all firms assigned to a single sales rep if you are bulk updating those firms to a new sales rep.<\/p>\n<h2>Update locations<\/h2>\n<p>For locations you can update:<\/p>\n<ul>\n<li>Who on your staff handles these locations<\/li>\n<li>The category of the facilities where records are stored, e.g., hospital, courthouse, or school<\/li>\n<li>A different entity that handles the release of information (ROI) for these locations<\/li>\n<\/ul>\n<p>As with the other entities, you can choose to change every listing in Locations, only active locations, or a custom set of specific locations.<\/p>\n<h2>There is no Undo in Bulk Update<\/h2>\n<p>When you select Update All for firms, contacts, or locations, MR9 warns you that you are about to update all the entities in the selected table and you must affirm that you want to change the entire table.
