Are you using the new functions in RB 9.60?

RB9 and RBLiteThe RB update released October 21, 2025 includes 2 new functions: One for customizing the list of states in RB and another that makes it easier to search RB for merged listings. Have you used them yet? If not, this article explains what they do and how to get the most out of them.

Setup > States

Dropdown lists are a great way to enter repetitive information — you save time and reduce errors because you don’t have to key in anything — you simply select an option from a list. However when the possible options result in a lengthly list — as is the case with State dropdowns in RB — you might question if they truly are a timesaver.

RB’s default list of states includes all US states, the District of Columbia, US territories, military postal designations, and all Canadian provinces and territories. That’s a long list — 75 entries in a single list.

And that’s only half of the problem with the States list: The default list doesn’t include any states, etc. outside the US and Canada’s jurisdictions. If you have a contact or depo location outside those places, what do you select?

To address those 2 issues, we added a new function in the Setup module. States is a standalone function but works like the Lists function that has been a part of RB9 since the beginning — so there’s no learning curve in using this new function.

Like lists in the Lists function, you can customize the States list by adding, editing, hiding, or deleting states for countries other than the USA. You can’t delete US jurisdictions — they are required by the system — but you can shorten State dropdown lists by hiding states you don’t need. Simply change the status of any state to inactive and they won’t appear in the dropdowns.

There is one difference in how States works compared to Lists: When viewing the list of states in your RB database, you can restrict results to a single country to make it easier to find a state you want to update in what is the longest list in RB.

Since the States function is part of the Setup module, changes made to the list are company wide. If you haven’t already customized your States list, the upcoming slow period around the holidays might just be the ideal time for you or a staff member to cull your States list to save your whole staff time when entering states in the new year.

Tools > Merge History

The other new function doesn’t require any setup — and you can’t do any customization. Merge History just makes it easy to review the records of merged entities and cases in your RB database.

You can merge entities and instances of certain other types of RB data into similar entries in RB’s database. Use this function to review merges of cases, contacts, firms, locations, and resources within any date range.

When you merge an RB listing into another one, RB records the event. Before we added this function, you had to use the Notes Finder to search for the word “merge” in the Notes Logs of the different types of entries — and if you use RB Lite you don’t have that tool. This new function simplifies the search, is available to RB Lite users, and focuses the results returned on the information you want to know about merges — what was merged, who merged them, and when.
