Ready to upgrade to MR9?
If you want to upgrade from an earlier edition of MetaRecords software, this article lays out the process and costs to upgrade depending on which version of MetaRecords you are currently using.
Upgrade process
To upgrade from the different versions of MR8 or MR7, clients have a 3-step process to follow:
- Schedule your upgrade.
- We install your MR9 application and convert your data so you can test the system while still working in your current MetaRecords.
- At the end of the testing period (varies depending on which MR version you are on — see chart below), we update your MR9 to the latest version and convert your current MR data — and you are live with MR9!
During the testing period in addition to getting your staff acquainted to MR9, you will have to manage your user licenses so when you go live each user has their own named user license. More information on user licenses is at the end of this article.

- For all versions, the Installation and Data Conversion Fee includes 1 test and 1 live conversion.
- For all versions, any additional data conversions will incur an additional charge of $250 or $500 per conversion depending on which MR system your data is being converted from.
- For MR8 Subscribe and MR8 Cloud clients we waive conversion charges. But the test period is limited to 2 months. When the test period expires, the test site will be automatically CLOSED unless the client wishes to extend the test period. If the client wants to extend the testing period, they will be charged $250 per month until their MR9 site goes live.
- MR6 or previous versions cannot be upgraded to MR9.
For clients with custom functions
If you have custom functions in your current MR system that you want recreated in MR9, request a separate quote for updating your custom MR functions. NOTE: Recreating custom functions in MR9 may take more time and cost more than what you experienced with MR8.
Upgrade procedure from MR7
MR7 cannot be upgraded/converted directly to MR9. First we install the MR8 system on our server and upgrade your MR7 to MR8. Then we install MR9 and follow the MR9 upgrade procedure above.
Unique subdomain name
Because MR9 resides in the cloud, your version must have a unique web address/URL which is where you log into your MR9. To create your URL we add a unique subdomain name to the URL where the MetaRecords servers are. Your address will look something like this: xxxxxxxx.recordservices.net, where the x’s represent your unique subdomain — which can be something that resembles your company name or other identifier.
Before upgrading, set up users with their own licenses
In MR9, user licenses are assigned to individual users and include their own user IDs and passwords — similar to banking apps on the web. Since the user license has been changed to per named user, you should designate your total number of licensed CALs as active users in MR9.
During conversion, active users exceeding your total number of CALs will be automatically turned to inactive in consecutive order. Inactive users will not be able to log in after the upgrade. If you have more active uses than CALs, add named user licenses in MR9 so all of your users have access to your MR9.
